What data we collect and why

Contact form

When you send a message through our contact form, we collect your name, email address, subject and message. We use this only to reply to you and, where relevant, to prepare or carry out a project with you. Legal basis: taking steps at your request before entering into a contract, and our legitimate interest in answering enquiries.

Newsletter (Captains Log)

If you subscribe to our updates, we collect your email address to send you news about our work and services. Legal basis: your consent. You can unsubscribe at any time by replying to any update or emailing us.

Editions alerts

If you ask to be told when an Edition is ready, we collect your email address, the name of the Edition and any question you add. We use this only to answer your question and to let you know once that Edition is available. After that message we delete your details. We do not add you to the newsletter or use your email for anything else. Legal basis: your consent, which you can withdraw at any time by emailing info@digitalnavigatorz.com.

Job and collaboration applications

If you contact us about joining the crew, we process the details you share, such as your name, contact details, portfolio and social profiles, to assess your application. Legal basis: taking steps at your request before entering into an agreement.

Technical data and security

When you visit the site, our hosting and security tools automatically process technical data such as your IP address, browser type and the pages you visit. We use this to keep the site running, secure and free of spam. Legal basis: our legitimate interest in operating a secure website.

Cookies and embedded content

We do not use advertising cookies. The site uses functional cookies needed for it to work, and some pages include content from other services, which may set their own cookies or collect data when that content loads:

  • Google Maps (map on our contact page) and Google Fonts (typefaces), provided by Google Ireland Ltd.
  • Instagram feed, provided by Meta Platforms Ireland Ltd.
  • YouTube videos and links, provided by Google Ireland Ltd.

Embedded content behaves as if you had visited the other website directly. Please see those providers’ privacy policies for details.

Who we share your data with

We never sell your data. We only share it with service providers that help us run this website and our communication, under data processing agreements where required:

  • Cloudways: website hosting
  • Brevo: delivery of emails sent from the website
  • Automattic (Jetpack): site security, performance and statistics
  • Fullworks (Anti-Spam Protection): spam filtering for forms, processed on our own server
  • Our email provider, where your messages are stored
  • AI assistants: trusted AI tools that help us prepare and carry out projects, for example drafting, research and analysis. We only share what a task needs, we use settings that stop your data from being used to train AI models, and we do not enter sensitive personal information.

Some of these providers may process data outside the European Economic Area. Where this happens, it is protected by appropriate safeguards such as the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.

How long we keep your data

  • Contact form messages: up to 2 years after our last contact, unless they lead to a project.
  • Client and project records: 7 years, as required by Dutch tax law.
  • Newsletter subscriptions: until you unsubscribe.
  • Editions alerts: until we have told you the Edition is ready, and no longer than 12 months.
  • Applications: up to 4 weeks after the process ends, or up to 1 year with your permission.

Your rights

You have the right to access, correct or delete your personal data, to restrict or object to its processing, to receive your data in a portable format, and to withdraw your consent at any time. To use any of these rights, email info@digitalnavigatorz.com. We respond within one month.

If you believe we are not handling your data correctly, you can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

How we protect your data

The site uses an encrypted (HTTPS) connection, access to our systems is limited and protected, and we keep our software up to date. If a data breach occurs that puts your rights at risk, we will notify you and the authorities as required by law.

Changes to this policy

We may update this policy when our website or services change. The date at the top shows when it was last updated.
